How Fast Should You Reply to a New Inquiry?

By Justin Chambers ·

Someone fills in your form, sends a message, or leaves a voicemail. They want a quote, a booking, or an answer. What happens next decides whether that inquiry turns into a job.

The short answer: reply as soon as you reasonably can, and the same day at the very least. Here is why speed matters, and how to make it happen without living on your phone.

Why the first hour matters

When a person reaches out to a local business, they are usually ready to act. A furnace has stopped. A tooth hurts. A renovation is finally a go. In that moment they are paying attention.

That attention fades quickly. A few things tend to happen while they wait:

  • They contact someone else. Many people send the same request to two or three businesses at once. Whoever answers first gets the first conversation.

  • They get busy. Work, kids and errands take over. By tomorrow, the urgency has gone.

  • They forget the details. They may not remember which business they contacted, or what they asked.

A fast reply does not have to be a full answer. It just has to show a real person saw the message and is on it.

What "fast" looks like in practice

There is no single rule that fits every business, but these are sensible targets:

  • During business hours: reply within the hour if you can.

  • After hours: reply first thing the next morning, before you start the day's work.

  • Weekends: decide in advance who checks messages, and when.

If you cannot hit these every time, that is fine. The goal is to be quicker and more reliable than you are today.

What to say in your first reply

Your first message only needs to do three things:

  1. Confirm you got it. Use their name and mention what they asked about.

  2. Say what happens next. "I'll call you at 2 today" or "Can you send a photo of the unit?"

  3. Make it easy to answer. Ask one simple question, or offer two time slots for a call.

For example:

Hi Sam, thanks for reaching out about your bathroom renovation. I'd love to hear more. Are you free for a quick call at 11 or 3 today?

Keep it short and friendly. Do not quote a price you have not worked out, and do not promise a date you cannot keep.

How to reply fast without being glued to your phone

Speed is mostly about setup, not effort. A few simple habits help:

  • Send every inquiry to one place. Form submissions, ad inquiries and website messages should land in one inbox or one app, not five.

  • Turn on notifications for that one place. Leave the rest quiet.

  • Use an instant automatic reply. A short message that says "Thanks, we got your request and will be in touch today" buys you time. Then follow up personally.

  • Have a few ready-made replies. Save two or three templates for your most common requests so you are editing, not writing from scratch.

  • Give someone the job. If you are on a roof or with a patient, a family member or office person can send the first reply.

  • Offer a booking link. Let people pick a time for a call themselves, so you are not stuck trading messages.

What if you missed one?

It happens. If an inquiry sat for a day or two, still reply. Be honest and brief:

Hi Sam, sorry for the slow reply. Are you still looking for help with your bathroom? I have time for a call tomorrow at 10 or 2.

A late, polite reply is much better than no reply. Some people will have moved on. Others will still be glad you got in touch.

Speed works best with the right inquiries

Replying fast is easier when the inquiries coming in are from people who actually need what you offer. If your ads or website bring in a mix of tire-kickers and good fits, you spend your quickest replies on the wrong people.

Clear ads, a simple page with one clear next step, and a short form that asks the right questions all help you get better inquiries, so your fast replies count.

The takeaway

You do not need a call centre to reply fast. You need one place for inquiries, a quick automatic reply, a few ready-made messages, and a habit of following up the same day. Small changes here can make every inquiry you already get more likely to turn into a conversation.
